Adventure Vacations East Africa Co. offers the very best in professional leadership at reasonable prices thus giving you exceptional value for money.

Group sizes are a major factor in determining your tour price and this is often linked  with transport and the leader-to-participant ratio.

Reservations and payment.
Reservations for a tour require the filling a booking form. When asking for your tour to be confirmed you must provide Adventure Vacations East Africa Co. with a minimum deposit of 50% per person against the cost of the services you have asked for us to arrange. A binding contract between Adventure Vacations East Africa Co. comes into existence once we have accepted your booking and issued a confirmation invoice. The date of the contract is the date, which appears on that invoice. Balance of the cost must be received not later than 38 days prior to the commencement date of your holiday. If payment is not made in full by the due date, Adventure Vacations East Africa Co. reserves the right to treat your booking as having been cancelled by you and apply the cancellation charges set out in cancellation charges paragraph below. If the reservation is made within 38 days of departure the whole amount must be paid at the time of confirmation.

Adventure Vacations East Africa Co. terms.
Rates include all expenses in connection with vehicle, driver and leader for the itinerary as set out in the tour plan, hotel accommodation with full board table d'hôte meals whilst on safari in most instances and meal arrangements elsewhere as specified.

Air costs for scheduled flights e.g. Nairobi-Kilimanjaro, Nairobi to Maasai Mara - are included. Flight services may be cancelled or suspended at any time without notice. The rates also include: -

Government hotel taxes.

Hotel service charges,

All entry fees except where these are specifically quote as exclusions.

Flying Doctor emergency evacuation coverage.

Baggage handling assistance is provided by our hotels or by the leaders when necessary.

All accommodations as described in your itinerary, which are based on single, double or triple occupancy. Single supplements are available for most of our tours, If you wish to share a room with someone, every effort will be made to match you with a roommate.

Complete itinerary.

Daily safari briefings so you'll know what to expect on the day ahead. You'll also have a general briefing before starting your safari.

Guaranteed departures for two or more passengers booking any safari.

Not included are:
departure taxes, travel cost (air fares) and insurance, visa's costs, immunizations, excess baggage charges, optional excursions, gratuities (other than service charges), beverages, laundry and other such personal expenses such as communication costs.

Adventure Vacations East Africa Co. reserve the right to increase or decrease holiday prices at any time before your booking is made. You will be given the current price at the time of booking. The prices are all in US Dollars. Adventure Vacations East Africa Co. do not intend to surcharge any of these prices once they are confirmed.

We reserve to correct errors in advertised and confirmed prices. We will do so as soon as we become aware of the error.

Transfer of booking
There is a right for tour participants to transfer their bookings to another person if they are prevented from proceeding with the tour due to sickness or accidents suffered by them or their close family or for other unavoidable reasons. However, if there is a waiting list for the tour the place must first be offered to the people on that waiting list. If there is no waiting list and participant can find another person to take up the place any additional costs incurred by us will be transferred to the transferee. These are mostly likely to relate to insurance policy, as names cannot be changed on these. Reasonable notice must be given to us about the transfer and cannot be made within 21 days before departure date.

Financial security and Bonding
Adventure Vacations East Africa Co. is licensed in accordance with the tourist industry licensing act, Cap 381 and as such is fully bonded in accordance with the requirements of the Kenya government and the tourism authority. This means in the unlikely event of Adventure Vacations East Africa Co. ceasing to trade, the Kenya tourism authority bond protects the money of people booked on tours.

We operate a client’s account where all advance payments are placed and are not withdrawn until the completion of the tour. This is for security purposes incase of need for refunds to be made.

Cancellation,

The following cancellation charges will be payable. Should you need to cancel you must notify Adventure Vacations East Africa Co. immediately in writing. In this eventuality your deposit is non-refundable.

The following cancellation charges will be payable.

35 - 21 days prior to travel date 25%.

20 - 14 days prior to travel date 50%.

13 - 5 days prior to travel date 75%.

4 - 0 days prior to travel date 100%.

Although it rarely happens, Adventure Vacations East Africa Co. do their utmost to avoid doing so, we reserve the right to cancel tours and other arrangements. Where you holiday is cancelled (other than due to your default in payment) Adventure Vacations East Africa Co. will offer you the choice of purchasing an alternative holiday (and paying or receiving a refund in respect of any price difference) or receiving a full and immediate refund of all monies paid to us.

In addition, Adventure Vacations East Africa Co. will pay your compensation in accordance with and limited to the scale set out below except where Adventure Vacations East Africa Co. is forced to cancel as a result of unusual and unforeseeable circumstances beyond our control, the consequences of which Adventure Vacations East Africa Co. could not have avoided even with due care such as these amounting to "force majeure" as described below or because an insufficient number of people have booked the chosen holiday - in this case you will be notified not less than 38 days before the commencement date of the holiday.

Very rarely, Adventure Vacations East Africa Co. maybe forced to curtail the holiday after departure where circumstances amounting to "force majeure" arise. In this very unusual situation, Adventure Vacations East Africa Co. regret they cannot make any refunds or pay any compensation or be responsible for any cost expenses incurred by you as result.

Please note that cancellations of a tour’s extension do not alter your rights or obligations with respect to the main portion of the same tour.

Changes

Should you wish to make any changes to the confirmed arrangements, Adventure Vacations East Africa Co. will endeavor to assist. An amendment fee of US$ 25 per person will be payable.

We reserve the right to make changes to tour plans and holiday arrangements and correct errors both before and after you have booked the holiday. Most changes will be minor. However, occasionally, Adventure Vacations East Africa Co. has to make significant changes to holiday arrangements. In the event of significant change, Adventure Vacations East Africa Co. will inform you or you travel agent at the earliest possible opportunity. In such cases you will have the choice of either accepting the change or booking alternative arrangements (and paying or receiving a refund in respect of any price difference) or canceling the holiday and receiving a full immediate refund for all monies paid to us. In addition, in the case of significant change, Adventure Vacations East Africa Co. will pay you compensation in accordance with, and limited to, the scale set above under the heading "Cancellation by Adventure Vacations East Africa Co." subject to the following exception. No compensation will be paid and no liability beyond offering the above mentioned choices can be accepted where the changes is made as a result of unusual and unforeseeable circumstances beyond Adventure Vacations East Africa Co. control, the consequences of which Adventure Vacations East Africa Co. could not have avoided even with all due care such as those amounting to "force majeure" as described below. No compensation in the case of minor changes.

Our responsibility
Many people and companies over whom Adventure Vacations East Africa Co. has no direct control are involved in planning and provision of your tour services. Adventure Vacations East Africa Co. holiday has taken all reasonable steps to ensure that the suppliers of all services provided are of acceptable standard. Adventure Vacations East Africa Co. accept responsibility for the standard of services provided to you.

No liability can be accepted for negligent acts or omissions of hotel accommodation providers, any liability for loss, damage or expense resulting from war or threat of war, terrorist activities, riots, civil unrest, natural and nuclear disasters, fire or adverse weather conditions, closure of airports, industrial disputes including air traffic control disputes, technical or maintenance problems with transport, cancellation or changes of schedule by airlines, financial failure of airlines, or for any unusual and unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised, or due to an event which, even with all due care, we could not foresee or forestall.

Force Majeure
Throughout the booking conditions, the expression "force majeure" means any event which Adventure Vacations East Africa Co. could not have foreseen or avoided even with all due care. Such events may include war or threat of war, riots civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, governmental control."In these circumstances Adventure Vacations East Africa Co. shall not be liable to pay any compensation or otherwise be responsible for any expenses or losses you incur where Adventure Vacations East Africa Co. is forced as a result to cancel, delay, curtail or change your holiday arrangements in any way or where the performance or prompt performance of Adventure Vacations East Africa Co. contractual obligations is prevented or affected. Except as provided in cancellation by Adventure Vacations East Africa Co. and changes by Adventure Vacations East Africa Co..

Complaints
Adventure Vacations East Africa Co. hope you will not encounter any problems during the holiday. However, should one arise, please immediately advice us of the service in question as most problems can be solved straight away. In the event of you remaining dissatisfied please write to us setting out your complaint in detail within 28 days of the end of your holiday. Adventure Vacations East Africa Co. regret that they cannot accept responsibility for any complains which are entirely in accordance with this close.

Delays.
No arrangements are made by Adventure Vacations East Africa Co. concerning the provision of local and international flights from the UK or Europe. Therefore all outward and homeward points of departure should be read in relation to the services which Adventure Vacations East Africa Co. have contracted to provide and not any flight or other travel arrangements which may have been added on.

In case of any delay at the commencement of Adventure Vacations East Africa Co. services, we will do our best to provide light refreshment for delays between 2 and 4 hours, and meals at meal time for delays over 4 hours.

Booking Terms accuracy - changes and errors.
Please note Booking terms may change by the time you book your holiday. Whilst every effort is made to ensure accuracy of the information, regrettably errors do occasionally occur. You must therefore ensure that you check the Terms with us or your travel agent as the appropriate at the time of booking.
